JOB SUMMARY: The administrative secretary provides administrative office secretarial support to a Director and other management/department team members as necessary. TYPICAL DUTIES AND RESPONSIBILITIES: The duties and responsibilities listed herein are not intended to be all inclusive but rather to indicate the primary emphasis of the job and establish the parameters for the necessary skill, effort, responsibility and working conditions that make up the job.· Provide administrative secretarial support to the Department Director and Managers including correspondence, reports and memoranda as directed. Maintain an updated and current appointment calendar. Receive and screen telephone calls, mail and visitors. Exercise independent judgment/discretion within scope of responsibility (ability to work with general vs. close supervision).· Support the Director and Managers in maintaining organized and timely responses in daily activities throughout the area of responsibility. Track project deadlines. Assist with special projects as they arise. Keep confidentiality of position.· Record, transcribe and distribute minutes of various team, task force, and committee meetings. Prepare and distribute meeting packets. Maintain minute books, meeting schedules, membership lists, and mail message lists. Provide support to committee chairpersons as needed. Arrange meetings, reserve rooms, audio/visual equipment and refreshments. · Coordinate travel arrangements, including transportation, accommodations, rental cars, etc., as required. Prepare expense reports.· Establish and maintain current and archived office files.· Receive, open and distribute mail; answer routine correspondence without direction.· Type yearly performance reviews. Maintain other files and handbooks in a timely and efficient manner.· Maintain the Automated Timekeeping System (Kronos) for assigned units/employees. Update staff schedules, process corrections, and print time cards as necessary. · Assist with JCAHO/CMA survey preparations.· Collect, prepare and analyze data for various statistical reports for regularly scheduled monthly reports and for special projects as directed by the Vice President.· Order and maintain supplies as needed.· Complete required continuous training and education, including department specific requirements.· Administratively support other management and staff as necessary.· Promotes and adheres to all elements of the hospital and corporate ethics and compliance program.· Promotes and adheres to all elements of the Patient Safety Program.· Provide assistance to leadership of major departments of the hospital· Provide assistance in preparation of major operational and financial studies and reports affecting hospital operations
