Position Summary: The Field Administrator is an entry level position with RECON that will provide day to day administrative support to the staff and management team located onsite at an environmental remediation construction project in Las Vegas, NV. Responsible for record keeping, timekeeping, coordination of meetings and travel arrangements, hiring, and overall management of day to day office operations. Essential Functions: Manage complex activities that include scheduling meetings and travel arrangements, input data for timekeeping and coordinate reporting activities to support the project management team Maintain organization of the filing system, retrieve appropriate information when needed for reports on the project, answer phones and take messages to ensure staff/clients receive help effectively Review reports submitted for accuracy and integrity, suggest changes and recommend for approval Prepare and maintain integrity of activity, expense and budget reports or other items affecting the business and program services Input and coordinate timekeeping data in the ALPAY system weekly, enter hours and per diem as assigned; work closely with Human Resources at corporate to coordinate new hire paperwork, timekeeping and employee separation information Work in tandem with corporate to manage purchase orders and process invoices in a timely and organized manner, make updates to cost tracking spreadsheets and related reports as assigned Qualifications: Three years of administrative experience, previous clerical or administrative support experience within the construction industry highly preferred Excellent verbal and written communication skills with an ability to absorb knowledge quickly and understand office administration processes Computer proficiency in Microsoft Office Word, Excel, and Outlook; knowledge of ALPAY and/or Sage 300/Timberline is a plus Ability to prepare correspondence with a high level of accuracy and attention to detail Must be able to work independently on multiple projects concurrently with time sensitive deadlines Knowledge of generally accepted accounting principles needed to prepare financial and budget reports accurately RECON team members are passionate about service, innovation and collaboration.
