Job Purpose

This position supports both Owners internally and externally, and acts as a liaison between the Owners key executives, and employees. The Executive Assistant will provide high:level administrative support in all areas, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, scheduling meetings, organizing emails, etc.

Essential Job Functions
Provide professional and confidential administrative support to the Owners.
Complete a broad variety of administrative tasks for the Owners including: managing an extremely active calendar of appointments; completing expense reports; composing and preparing confidential correspondence; arranging complex and detailed travel plans (business and personal), itineraries, and agendas; and compiling documents for travel:related meetings.
Plan, coordinate and ensure the Owners schedule is followed and respected.
Work closely and effectively with the Owners to keep well informed of upcoming commitments and responsibilities, following up appropriately.
Proactively manage dual calendars for efficient use of time (limited time for on:site meetings/numerous off:site meetings and conference calls/visitors on track/media and PR events that may take priority, etc.).
Prepare and send daily agenda which recaps the essential items the following day.
Provide a gatekeeper role, creating win:win situations for direct access to the Owners time and office, including screening outside calls and directing to the appropriate department.
Provide a bridge for smooth communication between the Owners office and internal departments; demonstrating leadership to maintain confidentiality, trust and support with senior management staff.
Prioritize and assist management and staff with items requiring input from the Owners (limited face time due to busy schedules), to ensure urgent items are handled in a timely fashion and escalated when required.
Must be available for immediate contact throughout the work day to accommodate schedules and changing priorities of Owners
(texting/emails/phone calls).
Provide administrative support when required evenings and weekends to uphold schedules and events (for example, handle airline check:ins in a timely manner; company laptop available).
Assist with marketing and projects when required.
Coordinate numerous ongoing services at home address to fulfill household needs (coordinate with household staff and Personal Assistant regularly), including advising gate entry and scheduling when household staff is home based on property access requirements.
Pay and track personal bills and monitor personal bank account levels (advise when transfers are needed between accounts).
Run errands on limited basis for food service or other business needs, in coordination with Personal Assistant; using company vehicles when available.
Provide limited administrative support to new Cosmetic entity (including travel, paying and tracking
invoices/receipts).
Other duties as assigned.
