Executive Assistant Needed for Real Estate Team

This person is responsible for providing support to a growing team of real estate agents. It's this position's purpose is to increase the amount of high-quality time the team leader can invest into expanding the business, nurturing lifetime relationships and providing extraordinary leadership. The assistant will serve in a changing paced environment and is a special person who will act as the primary support in a manner which will increase the capture rate of high quality and make their lives easier by providing support as directed by the team leader.

• Oversee all aspects of buyer & seller transactions from executed purchase agreement to closing.
• Coordinate title/escrow, mortgage loan, and appraisal processes.
• Coordinate inspections, assist in negotiations regarding repairs and coordinate completion of repairs.
• Regularly update & maintain communication with clients, agents, title officer, lender etc.
• Submit all necessary documentation to office broker for file compliance.
• Coordinate moving/possession schedules.
• Schedule, coordinate & attend closing process.
• Input all client information into client database system.
• Oversee all aspects of the administration of the agent’s business.
• Create & manage all systems for sellers, buyers, client database management, lead generation tracking, lead follow-up & all office administration.
• Coordinate the purchasing of any office equipment, marketing materials and any other business-related supplies and materials.
• Create & update a business operations manual and all job descriptions/employment contracts for any future hires.
• Hold agent(s) accountable for conducting all agreed upon lead generation activities.
• Calendar Management with effective prioritization, resolving scheduling conflicts as necessary
• General administrative support including phone coverage, emails, filing (paper and electronic), photocopying, etc.
• Telephone Conversations to current, past and prospective clients
• Follow up with clear direct communication with all agents to update notes on all available platforms

• Must be able to work full time, 9-5pm Monday through Friday
• Must be professional, polite, well-spoken and courteous; must demonstrate a calm demeanor in all situations
• Must have excellent written and verbal communication skills
• Must have effective problem-solving skills, be proactive and solution-orientated
• Must have excellent computer skills including PowerPoint, Excel, Word, and Google Docs, Wordpress
• Must be tech savvy
• Must have excellent organizational skills
• Must have reliable transportation
