Is that you? If so, we think you should get to know us. Job SummaryThis position serves residents by providing exceptional information and services. The Concierge is responsible for creating the first impression of the community via telephone or in person for residents, families, and guests. The Concierge is also responsible for clerical duties, as needed.ResponsibilitiesThe job duties listed are typical examples of the work performed by positions in this job classification. Not all duties assigned to every position are included, nor is it expected that all positions will be assigned every duty. Assisting with residents and quests access the elevator.Answering the phone and assisting with resident questions or services needed.Package tracking. Mail pull for residents, if needed while out of town.Data entry. Updating new and existing residents/guest information in Connect.Provide up-to-date information of downtown to residents/guests when needed.Monitor cctv while at the desk to provide assistance to security.Keep up-to-date records of vendors and retailers for services provided by concierge approved and recommended through HOA.Assist and work with the HOA.Assisting with interdepartmental needs. Leasing, Sales, Engineering and Janitorial.Provide the best customer service to our residents and their guests.Resident Mixers:Works along with local venues and provides the flyer to the staff to post in the HOA approved areas for their residents. Via Email or by phone.Maintains a lasting relationship and works to offer more for our residents.Attends the resident mixers to build relationships and makes sure everything is as planned.Flyers are provided from either the venue or created by the concierge using the necessary tools and ElitePI for the Elevator bays in The Ogden.In The Know Newsletter:The concierge builds/creates the latest newsletter using the necessary tools provided. The newsletter is created by using the template pre-created and just changed with new information found for the new week. All the information provided in the newsletter can be found on websites for discounts and the latest events going on.The newsletter is provided every week to the staff for their residents by every Friday. This is done via email to the concierge. Demonstrates excellent customer service and communication skills.Provides services requested by making arrangements and reservations for dining, tours, travel, entertainment, accommodations, rentals, gifts, sporting events, transportation, meetings, secretarial services, couriers, communication and mail services, personal appointments and services, medical services, and similar requests; reminding residents of schedules; providing support and assistance; running errands; personalizing services.Identifies and clarifies residents' needs and desires; answers questions; gives directions and instructions; develops inventories of services.Anticipates services required by ascertaining mood and style of residents, identifying options, developing itinerariesOrganizes social events and event planning and arranges servicesHelps residents establish accounts and schedules.Improves services by obtaining and evaluating resident observations opinions, and criticismsMaintains guest privacy and organization reputation by keeping information confidentialMonitors and Controls Electronic Security Control Systems.Responds to emergency situations in a timely and efficient manner.Monitors and screens messagesControls access for authorized vendors to provide services within units to the building.Updates job knowledge by participating in educational opportunities, maintaining personal networks.Enhances department and organizational reputation by accepting and accomplishing new and different requests; exploring opportunities to add value to job accomplishmentsMaintains daily log, records and forms.Resolves and follows-up on all complaints/issues.Maintains a safe and secure environment throughout the building/property (s).May be assigned other duties by the on-site property manager.Other requirements may be assigned.Requirements & SkillsTo perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
